1. Service provider

VoxDocs is an audio transcription and document export service operated by VoxDocs (hereinafter "VoxDocs", "we" or "the provider").

2. Description of the service

VoxDocs is a SaaS (Software as a Service) accessible via web browser at https://voxdocs.net. The service provides:

• Automatic audio transcription via AI (OpenAI Whisper technology)
• Structured summary generation (decisions, actions, key points)
• PDF export of meeting minutes
• PowerPoint export of structured presentations
• Temporary storage of recordings and transcriptions

3. Plans and pricing

3.1 Free Plan

The free plan lets you use VoxDocs at no cost, with the following limitations:

• 3 transcriptions per calendar month
• Full access to PDF and PowerPoint export
• Audio files up to 100 MB

The free plan requires no credit card.

3.2 Unlimited Plan (Pro)

The Unlimited plan is priced at €15 per month (including VAT). It provides:

• Unlimited transcriptions
• Full access to all features
• Priority access to new features

Prices are in euros, inclusive of applicable taxes. VoxDocs reserves the right to change pricing with 30 days' notice communicated by email.

4. Subscription and payment

Subscribing to the Unlimited plan is done directly on the site. Payment is processed by Stripe, a PCI-DSS certified payment service provider. VoxDocs does not store any banking data on its servers.

The subscription is monthly, automatically renewed on the anniversary date. The amount is charged at the start of each period.

5. Cancellation and refunds

You can cancel your subscription at any time from your account settings (the "Subscription" section in the app) or by contacting support. Cancellation takes effect at the end of the current monthly period. No partial refund is issued for the current period, except as described below.

If you have not used the service after subscribing, you may request a full refund within 14 days by contacting contact@voxdocs.net. After cancellation, your account automatically reverts to the Free plan.

6. User obligations

By using VoxDocs, you agree to:

• Only submit recordings for which you have the necessary permissions and consents from all participants
• Inform meeting participants that an automatic transcription tool is in use, in compliance with applicable laws (e.g. GDPR, wiretapping laws in your jurisdiction)
• Not use the service for illegal purposes or in violation of these Terms
• Keep your login credentials confidential

7. Intellectual property

VoxDocs grants you a personal, non-exclusive, non-transferable licence to use the service. You retain all rights to your audio recordings and generated documents. VoxDocs acquires no ownership rights over your content.

The VoxDocs software, its interface and algorithms are the exclusive property of VoxDocs and are protected by intellectual property law.

8. Limitation of liability

VoxDocs is provided "as is". We strive to ensure service availability but cannot guarantee 100% uptime. In the event of extended unavailability (more than 48 consecutive hours), you may request a pro-rated refund for the affected period.

Transcription accuracy depends on audio recording quality, speaker accents and acoustic conditions. VoxDocs does not guarantee perfect transcription.

VoxDocs's liability is limited to the amounts actually paid during the 3 months preceding the event giving rise to the claim.

9. Personal data

The processing of your personal data is detailed in our Privacy Policy. By using VoxDocs, you accept that your audio recordings are processed by our sub-processors (including OpenAI for transcription).

10. Governing law

These Terms are governed by applicable law. Any disputes shall first seek an amicable resolution. You may also use the EU Online Dispute Resolution platform: ec.europa.eu/consumers/odr.

11. Changes to these Terms

VoxDocs may modify these Terms at any time. Changes take effect 30 days after notification by email. Continued use of the service after that period constitutes acceptance of the new terms.
